Your Dropbox team space

With Dropbox Business, you have a new way to get your team in sync. We call this your team space. Use this space to store, access, share and edit files with your coworkers as well as request feedback, and more.

In this section we'll go over the types of folders you'll find in your team space, and intro helpful features like Smart Sync and Dropbox Paper.

 

Dropbox team folders

Once you sign in to your team space, you may see blue folders with a building icon. These are your team folders. Your admin has set these up to get your team started with Dropbox. If you’ve previously used Dropbox Basic, these special folders will be a new addition to getting organized.

Think of team folders as hubs for sharing content with your coworkers. When you add a file to a team folder, it’s automatically available to all members of the group or groups associated with that folder. Admins can invite others outside the group to view or edit specific files and subfiles, or limit access to its contents. While team folders will be set up and managed by your admin, you can also create your own shared folders (don’t worry, we’ll get into these in the next chapter).

Team member folders

Files saved to a Dropbox Business team folder are automatically shared with your coworkers. If you don't want to share yet, add the file to your individual team member folder instead. This folder is just for your work files. And whether a file is in team folder or member folder, you can customize a shared file or folder to limit who can view and edit your stuff.

Note: While your team member folder is your space, admins can access your folder through the admin console or by signing in as your account.

Smart Sync

With Dropbox, you can easily free up hard drive space by moving files and folders off your computer and into the cloud. With Dropbox Smart Sync, you can still see and access those files and folders right from your desktop file explorer. Simply click the file or folder, and it will automatically download to your hard drive—and only when you need it.

While your admin can choose default sync settings for the team, you can always enable Smart Sync for specific folders and files. With Smart Sync and other features like selective sync, spend less time managing your storage space and more time doing work that matters.

How to: Smart Sync

  1. Click the Dropbox icon from the system tray (Windows) or menu bar (Mac).

  2. Click the folder icon.

  3. Choose Open folder.

  4. Locate the content that you want to make online-only.

  5. Control-click or right-click the file or folder.

  6. Choose Smart sync.

  7. Choose Online-only or Local.

How do the system extension and driver work?

Open a file as usual through its native application, Finder (Mac), or Windows Explorer. Dropbox instantly downloads the file to your computer. This file will continue to be synced to your Dropbox account, but it will also use space on your hard drive.

Selective sync is another Dropbox feature that allows you to choose which files to remove from your hard drive. You’ll still be able to access them on dropbox.com, but they won’t appear on your computer. Selective sync helps you free up hard drive space without deleting anything from your Dropbox account.

Mobile offline files & folders

Dropbox works differently on your phone than it does on your computer: the mobile apps don’t save files to your devices, but rather show you your files in the cloud, just like on dropbox.com. Even when you open and edit a file on your phone, you are still interacting with the file in the cloud rather than downloading it directly to your device.

To access your work without Wi-Fi or data service, you can make files available offline by turning on the Available offline option. With mobile offline folders, you can go a step further: tag an entire folder to have its contents available offline on your phone or tablet.

How to: offline files & folders

  1. In the Dropbox mobile app, browse to the file you’d like to make available offline.

  2. Tap the ... (ellipsis) icon next to the file name.

  3. Tap the Available offline toggle.


To access your offline files and folders, tap Offline from the menu (Android) or Dropbox tab (iOS) on your Dropbox mobile app.
