How to add Smartsheet to Dropbox Dash

 This article describes a feature available to all Dropbox Dash users.


You can add your Smartsheet account to Dropbox Dash so you can access and search your Smartsheet content directly within Dash.

This requires OAuth authentication to ensure Dash only retrieves information relevant to your data, giving you full control over what Dash can access. Dash strictly follows the OAuth model, meaning it only accesses the data you specifically permit.

Requirements

To add Smartsheet to Dash, make sure you meet the following requirements:

  • Admin approval: The app must be enabled by your Dash admin. If Smartsheet isn’t listed in your Apps, contact your admin.
  • Authorization: You must authorize Dash in Smartsheet.
  • Active account: You need an active account with Smartsheet.

Integration features

For Smartsheet, Dash captures the following details:

  • Sheets: Dash gathers information about the sheet, such as the title, summary, created, and updated time. This also includes any attachments associated with the sheet.
  • Reports: Dash gathers information about the reports such as the title, summary, created, and updated time. This also includes any attachments associated with the report.
  • Folders: Dash gathers the name of the folders for search capabilities.
  • Sights/Dashboards: Dash gathers information about the dashboard, such as the title, created, and updated time. It also detects the name the reports used as widgets in order to power search capabilities.
  • Templates: Dash gathers the name of the templates to power search capabilities.
  • Workspaces: Dash gathers the name of the folders to power search capabilities.

API permissions

When connecting Smartsheet, Dash requests the following:

  • Retrieve contacts: Allows Dash to retrieve contacts.
  • Read events: Allows Dash to read event data. This includes events related to changes or activities within Smartsheet. Examples of events are creation, update, load, and deletion of sheets, reports, dashboards, attachments, users, and more.
  • Read sheets, including attachments and comments: Allows Dash to read all sheet data, including comments, attachments and cell data, such as attachments, columnType, cross Sheet References, discussions, filters, filterDefinitions, format, ownerInfo, permalink, and more.
  • Read dashboards: Allows Dash to read all sights (Dashboards) data.
  • View basic user info, including name and email: Allows Dash to access users’ information for your organization.
  • View account users, groups and group members: Allows Dash to access group information for your organization.

How content syncing works

  • Content sync starts right after the connection is made, so you can quickly search for the most relevant data
  • Incremental sync occurs every 2 hours.

How to add your Smartsheet account to Dropbox Dash

To add Smartsheet to Dropbox Dash:

  1. Log in to dash.ai.
  2. Click Apps near the bottom of the left sidebar.
  3. Locate Smartsheet in the apps list.
  4. Click  (add) to the right of Smartsheet.
  5. Enter your login credentials, or select an account to connect to Dash.
  6. Review the permissions requested, then click Allow.

How to remove your Smartsheet account from Dropbox Dash

  1. Log in to dash.ai.
  2. Click Apps near the bottom of the left sidebar.
  3. Locate Smartsheet in the apps list.
  4. Click (more options) to the right of Smartsheet.
  5. Click Disconnect.
  6. Click Disconnect in the pop-up window. 
  • Note: You can reconnect the app anytime.

How to check your added apps

To check what apps you’ve added to Dropbox Dash:

  1. Log in to dash.ai.
  2. Click Apps near the bottom of the left sidebar.

You’ll see a list of your added apps in the Added section, along with their connection status.

Admins: How to add Smartsheet for your team

Before your team members can add their Smartsheet accounts to Dropbox Dash, you’ll need to enable it in the admin console. To do this:

  1. Log in to dash.ai using your admin credentials.
  2. Click your avatar (profile picture or initials) in the lower left.
  3. Select Admin console.
  4. Click Apps.
  5. Click the More apps tab. 
  6. Click  Add to the right of Smartsheet.
  7. Click Enable Smartsheet in the pop-up window.

You’ll see a notification that says Smartsheet was enabled.
