How to add Microsoft Outlook to Dropbox Dash

This article describes a feature available to all Dropbox Dash users.


You can add your Microsoft Outlook account to Dropbox Dash so you can access and search your Microsoft Outlook content directly within Dash. 

Requirements

To add Microsoft Outlook to Dash, make sure you meet the following requirements:

  • Admin approval: If Microsoft Outlook isn’t listed in your Apps, contact your admin. Learn more about admin approval.
  • Authorization: You must authorize Dash in Microsoft Outlook.
  • Active account: You need an active account with Microsoft Outlook.

Integration features

For Microsoft Outlook, Dash captures the following details:

  • Events: Dash gathers basic event information such as date, event title, location, and attendee list to power event search and the calendar widget.
  • Messages: Dash gathers basic email information such as the sender, recipient, subject line, body text, timestamp, and attachment names.
  • Files: Dash gathers basic information about the file such as the file name, size, and file type for search capabilities.
  • Contacts: Dash gathers basic contact information such as the contact name, email, and profile image to enhance email and calendar search capabilities.

API permissions

When connecting Microsoft Outlook with Dropbox Dash, Dash requests the following authorizations:

  • Have full access to your calendars: This permission allows Dash to read calendar events to populate the calendar view with the most up-to-date information. 
  • Read your mail: This permission allows Dash to read email in your mailbox so that they can be searched within Dash.
  • Maintain access to data you have given Dropbox Dash access to: This permission allows Dash to see and update the data you gave it access to, even when you’re not online. 
  • Read your profile: The permission allows Dash to read your profile so we can identify you after authentication and personalize your experience.

How content syncing works

  • Content sync starts right after the connection is made, so you can quickly search for the most relevant data
  • Incremental sync occurs every 15 minutes.

How to add your Microsoft Outlook account to Dropbox Dash

To add Microsoft Outlook to Dropbox Dash:

  1. Log in to dash.ai.
  2. Click Apps near the bottom of the left sidebar.
  3. Locate Microsoft Outlook in the apps list.
  4. Click (add) to the right of Microsoft Outlook.
  5. Enter your login credentials, or select an account to connect to Dash.
  6. Review the permissions requested, then click Allow.

How to remove your Microsoft Outlook account from Dropbox Dash

  1. Log in to dash.ai.
  2. Click Apps near the bottom of the left sidebar.
  3. Locate Microsoft Outlook in the apps list.
  4. Click (more options) to the right of Microsoft Outlook.
  5. Click Disconnect.
  6. Click Disconnect in the pop-up window. 
    • Note: You can reconnect the app anytime.

How to check your added apps

To check what apps you’ve added to Dropbox Dash:

  1. Log in to dash.ai.
  2. Click Apps near the bottom of the left sidebar.

You’ll see a list of your added apps in the Added section, along with their connection status.

Admins: How to add Microsoft Outlook for your team

Before your team members can add their Microsoft Outlook accounts to Dropbox Dash, you’ll need to enable it in the admin console. To do this:

  1. Log in to dash.ai using your admin credentials.
  2. Click your avatar (profile picture or initials) in the lower left.
  3. Select Admin console.
  4. Click Apps.
  5. Click the More apps tab. 
  6. Click Add to the right of Microsoft Outlook.
  7. Click Enable Microsoft Outlook in the pop-up window.

You’ll see a notification that says Microsoft Outlook was enabled.
