What is a Dropbox team member trial license?

Team member trial licenses allow eligible teams to give new members access to their team for 14 days at no additional cost. This allows teams to immediately collaborate with new members, without the need to purchase an additional paid license in advance.

Note: The trial license will convert to a paid license on the team unless it’s cancelled within the 14-day trial period. 

Who’s eligible for the team member trial license? 

To get a team member trial license, your team must: 

  • Have a Dropbox Standard or Dropbox Advanced plan
  • Have fewer than 15 licenses

If a team is eligible, its admins will be notified and a team member trial license banner will appear on their Dropbox homepage.  

How do I get a team member trial license?

Team admins can send a new member an email invitation to join the team on a 14-day trial. 

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click Members in the left sidebar.
  4. Click Invite members.
  5. Enter the email of the new member under Email
  6. Click Manage beside Folder access
  7. Select the folders they can access and manage permissions for each folder.
  8. Click Send invite

You’ll receive an email before the trial ends to remind you that the trial is ending.

Notes

  • The 14-day trial starts once the invitation is sent, not once the new member accepts the invitation.
  • You can send multiple invitations and have multiple team member trial licenses active at the same time. 
  • You can’t invite team members with an email that isn’t on your work domain.

What happens after the trial ends?

After 14 days, the trial license automatically converts to a paid team license unless you remove it. If you decide to keep it: 

  • The trial member will convert to a team member on a paid license 
  • Your subscription will update to reflect the new license
  • You’ll be charged a prorated amount for the new license for the remainder of your current billing period

Admins can remove a trial member at any time. If you choose to cancel the team member trial license: 

  • The trial ends immediately
  • The trial member is removed from the team
  • No charge is applied
  • The team’s subscription remains unchanged

How do I manage team member trial licenses?

Admins can manage trial license access and settings in the admin console. 

  1. Log in to dropbox.com using your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click Members in the left sidebar.
  4. Find the trial member and manage their trial license access and settings: 
    • Check the status of the trial invite.
    • Resend the trial invite.
    • Manage a trial member’s access to folders.
    • Cancel a trial license. 

FAQs

Will I be charged when I send the invitation?

No. There’s no charge for team member trial licenses during the 14-day trial period. You'll only be charged if the trial license converts to a paid team license.

Is this available on all Dropbox plans?

No. Team member trial licenses are currently available only to eligible Dropbox Standard and Advanced teams participating in the beta.

Will my team’s storage increase when I add a new trial member?

Your team’s storage will remain unchanged during the trial period. If the trial license converts to a paid license, your team’s storage will be updated to reflect the change. 

What happens if my team renews during the trial period?

If your team renews during this period, you won’t incur any additional charges. Billing will only increase once the trial license converts to a paid license. Future renewals will include the additional paid license unless it’s removed before renewal.

Can someone have more than one team member trial license?

No. You can’t send an invite to someone that has already had a team member trial license on your team.

Can I request a team member trial license through Dropbox Support?

No. You’ll need to follow the workflow above to invite someone to join the team on a team member trial license. Dropbox Support can't manually add, remove, or modify team member trial licenses during the beta.
