What can AI Data Room Assistant do?

Admins can use a simple conversational prompt to get AI Data Room Assistant to carry out a search or task. You can tell it exactly what you want to do in plain language, including:

Space search and discovery

You can look for information about the contents of a Space, searching by:

  • File contents
  • Folder
  • File metadata
  • Uploader
  • Date range
  • Data Room contents and folder structure
  • Data Room metadata, including the owner, creation date, and settings

For example, you can ask it to look for specific words, find references to a particular topic within a Space, or summarize information by timespan or topic.

Note: Users with a linked Dropbox account can get a detailed breakdown of a document’s contents, including an analysis of the text or whether it’s signed. Without a Dropbox account, you’ll only be able to get a high-level summary of its contents.

Analyze Space activity and engagement

You can analyze visitor activity, review content interactions, or examine activity or engagement trends in a particular Space. It can track:

  • Audit log events
  • Visitor activity
  • File views
  • File downloads
  • Visitor engagement by user, company, folder, or document

For example, you can find out if clients have viewed certain documents, find out what documents are getting the most engagement, or request key activity stats to prep you for a meeting.

Space content management

You can ask it to perform content management tasks in a Space, including:

  • Creating a space
  • Creating folders
  • Moving files and folders
  • Renaming files and folders
  • Organizing content within the room

For example, you can use it to upload a document to a folder, move all tax documents into a finance folder, or create a Space based on your requirements.

Manage Space access and permissions

You can get information about access and permissions to a Space, including:

  • Users with access
  • Groups
  • Creating or modifying links and groups
    • Note: This doesn’t include setting up or modifying passwords and NDAs
  • Link settings
  • Access history

You can also manage access and permissions, and ask it to:

  • Create links and return URLs
  • Create groups
  • Add or remove emails from allow lists
  • Add or remove members from groups
  • Grant and revoke access
  • Update links or group settings
