Dropbox Protect connects to Dropbox, Google Drive, and Microsoft sources to help admins identify and manage content. Some Protect behavior varies by connected source or depends on information provided by the source app. These constraints can affect which items appear in Protect, how items can be filtered, which actions admins can complete, and what information Protect displays.

Filters

  • Multiple keywords use AND logic. When you enter multiple keywords in a filter on the All items page, Protect returns items that match all keywords, not items that match only one. Entering terms as separate keywords may produce the same results as combining them into one keyword entry. For example, entering “shared” and “google” separately returns the same results as entering “shared google” as one keyword.
  • Shared Drive filtering isn’t supported for Microsoft sources. The Shared Drive filter applies to Dropbox and Google Drive sources. It doesn’t filter content from Microsoft SharePoint sites.
  • External ownership filtering is supported for Google Drive only. On the All items page, the Ownership = External filter identifies externally owned content from Google Drive sources. Protect treats content from Dropbox and Microsoft sources as internally owned, including files owned by teams or groups that may appear external.

Actions

  • Delete actions don’t permanently delete Dropbox items. The Delete action follows the standard Dropbox deletion process and marks the item as deleted. Deleted items may remain accessible and appear in Protect until they’re archived and permanently deleted. To permanently remove a deleted Dropbox item, an admin must archive it and then permanently delete it. Learn more about permanently deleting files.
  • Top-level Dropbox sources can’t be deleted. Protect doesn’t support deleting top-level Dropbox sources. Attempts to delete a top-level source fail.

Ingestion

  • Files and folders shared from another Dropbox team may be ingested. Protect ingests content that members of your team can access through the Dropbox connector, including individual files and folders shared from another Dropbox team.
  • Creation dates reflect metadata received from Google. Protect may display creation dates that appear incorrect, including dates far in the past or future. These dates come from the Google connector and aren’t generated by Protect. If needed, verify or correct the date in Google Drive, the source system of record.
