How to add Jira to Dropbox Dash

 The information in this article applies to admins on Dropbox Dash.

You can add your organization’s Atlassian Jira account to Dropbox Dash so you can access and search your Jira issues by title and metadata directly within Dash. By syncing your Jira account with Dash, you’ll get quick access to your content and answers with a single click.

Notes: 

  • To set up Jira, set the default email visibility in your settings to public. Learn more about configuring your email address privacy and why it’s safe. This is a requirement for installed apps (like Dash) to access permissioning data. 
  • The permissions on ingested data may not be complete if default email visibility isn’t set to public or if individual users override email visibility settings on their Atlassian account.
  • Dash can only support Jira accounts with a single site. If you have multiple Jira sites, Dash can’t ingest your Jira data.

API permissions

When adding Jira, Dash requests the following authorizations:

  • Access your data offline: This permission allows Dash to keep your Jira data up to date in the background, even when you're not actively using it.
  • View your profile information: This permission lets Dash identify who you are in Jira and tailor search results to your permissions and identity.
  • View issues and work logs: This permission enables Dash to index your issues and work history, so you can search across tasks and tickets.
  • View project details: This permission allows Dash to index Jira projects.
  • View board configuration: This permission allows Dash to index Jira boards, sprints, and epics for search.
  • View users and their roles: This permission ensures Dash displays only what each user has access to.
  • View group memberships: This permission helps Dash verify group access restrictions when showing Jira content in search results.
  • View avatars: This permission is used to display avatars within search results.

Overview of setup

  1. Create an admin service account.
  2. Add Jira to Dash using one of the two supported authentication methods:
    • Method 1: API key method 
    • Method 2: OAuth method

Note: The key advantage of using API key authentication over OAuth for Jira is that API keys support issue-level security permissions when enabled in your Jira setup. They also allow you to connect multiple Jira instances to Dash.

How to create a service account in Jira

To add Jira to Dash, a Jira admin must authenticate and authorize a company-level integration between Jira and Dash. For better security and to prevent issues with the Jira and Dash integration (like if an admin leaves), creating a non-human admin service account in Jira for this integration is recommended.

Notes:

  • The recommended service account name is “svc-dropboxdash-atlassian-jira”. Learn more about service account naming conventions and recommendations.
  • Make sure there’s an email address for “svc-dropboxdash-atlassian-jira,” like “svc-dropboxdash-atlassian-jira@company_domain_name.com.” This email will be used to log in and receive messages to complete the Dropbox account setup.
  • If the service account you created isn't automatically added to your Jira site, follow the steps below.
  • These steps may differ slightly from what admins see in the Atlassian Administration view, depending on your version of Atlassian. Learn more about inviting users from Atlassian Administration.

  1. Log in to Atlassian Administration with your admin credentials.
  2. Click Directory.
  3. Click Invite users.
  4. Enter the email address for the service account user in the Invite by email address… field.
  5. Select the product access: Jira Software
  6. Click Invite users
    • You’ll be returned to the Atlassian admin page for Users and should see “svc-dropboxdash-atlassian-jira” as an invited user.
  7. Open the email account for the user “svc-dropboxdash-atlassian-jira” and locate the invitation to Jira.
  8. Click Accept Invite.
  9. In the pop-up window, enter “svc-dropboxdash-atlassian-jira” in the Full name field.
  10. Enter a new password in the Password field.
    • Note the password somewhere safe, such as your password management vault.
  11. Click Continue.
  12. You'll be asked to select a role that best describes your team's work. Select an option appropriate from the dropdown menu, then click Finish.

Note: The service account's access and control scope should be limited to Jira. If you have multiple Atlassian products, you'll need to set the Product roles for those that aren't Jira specific to None.‍

Method 1: API key method

To use this authentication method, create an API token and an org API key before adding Jira to Dash.

  1. Create an API token using a product amin role in Jira. Learn how to create an API token (without scopes).

Notes: 

  • You need access to all projects you want to sync with Dash. If new projects are created in Jira and your account has access to them, those projects will be synced automatically.
  • Setting the API key expiration to one year (the maximum) is recommended. Be sure to set a reminder to renew the key before it expires to prevent service interruptions.
  • Dash uses the following scopes to sync your organization’s Jira data:
    • read:jira-work and read:issue:jira → view issues 
    • read:project:jira → view projects 
    • read:board-scope:jira-software → view boards and issues on boards
    • read:me → get profile of authenticated user
    • read:user:jira, read:avatar:jira, read:group:jira → view users, their avatars, and user groups
    • read:application-role:jira → view application roles and details
    • read:issue-security-level:jira, read:issue-security-scheme:jira, read:field:jira, read:project-role:jira, read:project-category:jira → get permissions data for issues with security level 
    • read:jira-user → view users, get permissions data for issues without security level
    • offline_access → allows Dash to support you while offline

2. Log in to your Atlassian admin account to generate an org API token in the admin portal. Learn how to create an API key (without scopes).

  • Note: Setting the API key expiration to one year (the maximum) is recommended. Be sure to set a reminder to renew the key before it expires to prevent service interruptions.

3. Add Jira to Dash.


To add Jira to Dash:

  1. Log in to dash.ai using your admin credentials.
  2. Click your avatar (profile picture or initials) in the lower left.
  3. Select Admin console.
  4. Click Dash in the left sidebar.
  5. Click Apps.
  6. Click the More apps tab.
  7. Click Add to the right of Jira.
  8. Click API token in the pop-up window, then click Start.
  9. Review the What to expect window, then click Start.
  10. Enter the subdomain:
    •  The subdomain is the URL of your Confluence site without https:// (for example, exampleteam1.atlassian.net).
  11. Enter the API key generated in the section above.
  12. Enter the email address of the service account you created in the previous section.
  13. Enter the org API key generated in the previous section.
  14. Click Next, then click Done.

Notes:

  • Syncing may take a few days, depending on the content size.
  • Admins receive an email when syncing is complete.

Method 2: OAuth method

To use the OAuth method, assign the org admin role to the service account, then add Jira to Dash.

To add the org admin role to the service account:

  1. Log in to Atlassian Administration with your admin credentials.
  2. Click Directory > Users.
  3. Find the service account, then select their avatar or Show details.
  4. Click More actions () at the top of the page, then select Assign org admin role.
  5. Click Assign role to confirm.


To add Jira to Dash using the OAuth method:

Note: Log out of your individual Jira account before trying the steps below in order to add Jira to Dash using the service account you created.

  1. Log in to dash.ai using your admin credentials.
  2. Click your avatar (profile picture or initials) in the lower left.
  3. Select Admin console.
  4. Click Dash in the left sidebar.
  5. Click Apps.
  6. Click the More apps tab.
  7. ClickAdd to the right of Jira.
  8. Click OAuth in the pop-up window, then click Start.
  9. Complete the Atlassian login steps with your svc-dropboxdash-jira service account, then click Accept

Note: If you require multi-factor authentication (MFA) for accounts in your environment, you may be prompted for additional authentication associated with the service account.

10. Click Done.

11. Click the Your apps tab.

You should now see Jira.
