How to use Stacks with Dropbox Dash

Stacks allow you to organize and collaborate on all types of content, including files, apps, and browser links, in one place and share them instantly both inside and outside of your team.

How to create a Stack


You can create Stacks on dash.ai, by using the desktop app, or through the browser extension.

To create a Stack on dash.ai:

  1. Log in to dash.ai.
  2. Click Create Stack in the left sidebar.
  3. Name your Stack.
  4. Add a description, if you’d like.
  5. Click  (Stack) above the name of your stack to add an emoji avatar or custom image if you’d like.
  6. Click x Add cover to select a background color for your Stack, and upload a cover image.
    • Note: You can also choose a custom background color by clicking x (add) while selecting your theme.   
  7. Click x Add below the title of the Stack to add files, links, or a new section to your Stack.

Note: You can also duplicate or archive a Stack by clicking More options​  (more options), then Duplicate stack or Archive Stack. You can find archived Stacks in the Archived tab on the Stacks page.

You can also quickly create a Stack from the top search results for any term you search on Dash. 

 

To create a Stack from your search results:

 

  1. Log in to dash.ai.
  2. Enter the term you’d like to use to create a Stack in the search bar.
  3. Press enter on your keyboard.
  4. Click  Create Stack.
    • Note: You can use the search filters to refine what kinds of content are included in the Stack you’re creating.

 

You can open your new Stack by clicking Open Stack in the search bar, or by clicking  Stacks in the left sidebar. You can view your Stack as a list or a grid, and change your view by clicking View under the title of the Stack and selecting Grid or List from the dropdown.

To create a Stack on the Dash desktop app:

  1. Open the Dash desktop app by pressing control-shift-e (Windows) or  command-shift-e (macOS). 
  2. Click Create Stack in the left sidebar.
  3. Name your Stack and add a description, if you’d like.
  4. Click  (Stack) above the name of your Stack to add an emoji avatar, or custom image if you’d like.
  5. Click add Add cover to select a background color for your Stack, and upload a cover image.
    • Note: You canchoose a custom background color by clicking add-circle while selecting your theme.
  6. Click  add Add below the title of the Stack to add files, links, or a new section to your Stack.

You’ll see a pop up notifying you that a new Stack item has been added.

To create a Stack with the Dash browser extension:

  1. Open a browser tab.
  2. Click  (Dropbox) to the right of your browser address bar.
    • If you don’t see  (Dropbox), click 🗀 (extensions), then select  Dropbox Dash.
  3. Click add-stack (add to Stack).
  4. Click  New Stack.
  5. Name your Stack.
    • You can also add additional items to your new Stack by clicking 🗀 Click to add another item.
  6. Click Create.

This will add the page you currently have open to the new Stack.

Note: Creating Stacks on dropbox.com is currently a beta feature, and may not be available on your Dropbox account.

To quickly create a Stack from the contents of a folder:

 

  1. Log in to dropbox.com.
  2. Hover over the folder from which you’d like to create a Stack.
  3. Click Share.
  4. Select  Share with Stacks.
  5. Click Creaste new Stack.

 

Your new Stack will have the same name as the folder it was created from. You can add additional content by clicking  Add below the title of your Stack.

Tip: Once you create a Stack, you can pin it by clicking More options​ (more options), then Pin Pin Stack to make it easier to access. Pinned Stacks will appear at the top of your start page, as well as at the top of the Stacks page. You can also reorder pinned Stacks by dragging and dropping them to your preferred order.

How to add a group of tabs to a Stack

 

You can add a group of tabs directly to a Stack using the Dropbox Dash browser extension.

 

To do so:

 

  1. Open each page you’d like to add to the Stack as a separate tab.
  2. Hold Shift and click the first and last tab in the range of tabs you’d like to add to your Stack.
    • You can also hold control (Windows) or command (macOS) and click each tab you’d like to add individually.
  3. Enter a name for your Stack.
  4. Click Create.

 

A tab will open with your new Stack.

Notes:

  • This feature is currently available on Google Chrome and Microsoft Edge browsers.
  • Make sure you’ve recently interacted with each tab you want to add, and refresh any older tabs before creating the stack.


How to organize your Stacks with sections


You can organize the items in individual Stacks by using sections to group related content.

To add a section to a Stack on dash.ai:

  1. Log in to dash.ai.
  2. Click Stacks in the left sidebar.
  3. Select the Stack you’d like to add a section to.
  4. Click  Add the below the title of the Stack.
  5. Select Section from the dropdown.
  6. Enter a name for your section and click  (checkmark).
    • You can also enter a summary for your section if you’d like.
  7. Add items into the section by dragging and dropping them from your Stack.

You can remove or rename sections by clicking  (more options) next to the section, then selecting  Remove section or  Rename section. You can also rearrange items within the stack or section by dragging and dropping them into the order you’d like them.

Adding a folder to your stack will automatically create a new section with the same name as the added folder. 

To create a section with a folder:

 

  1. Log in to dash.ai.
  2. Click stack Stacks in the left sidebar.
  3. Select the Stack you’d like to add your folder to.
  4. Click add Add the below the title of the Stack.
  5. Select link Link from the dropdown.
  6. Paste the sharing link for the folder you’d like to add.

 

The new section will contain each item from the folder.

Sections can be viewed as a grid or as a list. To change this view:

 

  1. Log in to dash.ai.
  2. Click  Stacks in the left sidebar.
  3. Select the Stack with the section you’d like to change.
  4. Hover over the section you’d like to change.
  5. Click the grid or list icon, depending on your current view.
  6. Select Grid or List from the dropdown.

 

To add a section to a Stack on the Dash desktop app:

  1. Open the Dash desktop app by pressing control-shift-e (Windows) or command-shift-e (macOS).
  2. Click stack Stacks in the left sidebar.
  3. Select the Stack you’d like to add a section to.
  4. Click add Add the below the title of the Stack.
  5. Select Section from the dropdown.
  6. Enter a name for your section and click check mark (checkmark).
    • You can also enter a summary for your section if you’d like.
  7. Add items into the section by dragging and dropping them from your Stack.

You can remove or rename sections by clicking  (more options) next to the section, then selecting  Remove section or  Rename section.

To add an item to a section using the Dash browser extension:

  1. Visit the page you’d like to add to a Stack on your web browser.
  2. Click Dropbox (Dropbox) to the right of your browser address bar.
    • If you don’t see Dropbox (Dropbox), click puzzle-piece (extensions), then click Dropbox Dropbox Dash.
  3. Click  Add to Stack in the top left corner.
  4. Click  Add to section next to the Stack you’d like to add the item to.
  5. Select the section you’d like to add the item to.
     

The item will now be in the section you’ve selected.

Note: You can also add items to your Stack from the Recommended section by clicking Add​ (add) next to the suggested item.

How to add an item directly to a section


You can add items directly into sections without needing to add them to a Stack first.

To add a new item directly to a section on dash.ai:

  1. Log in to dash.ai.
  2. Click  Stacks in the left sidebar.
  3. Select the Stack you’d like to add an item to.
  4. Scroll to the section you’d like to add an item to.
  5. Click add Add item to section.
  6. Search for a file or paste a link in the search bar.

The item will now be added to that section of your chosen Stack.

To add a new item directly to a section on the Dash desktop app:

  1. Open the Dash desktop app by pressing control-shift-e (Windows) or command-shift-e (macOS).
  2. Click 🗀 Stacks in the left sidebar.
  3. Select the Stack you’d like to add an item to.
  4. Scroll to the section you’d like to add an item to.
  5. Click add Add item to section.
  6. Search for a file or paste a link in the search bar.

The item will now be added to that section of your chosen Stack.

How to share Stacks


You can share your Stacks both inside and outside your organization. You can do so by adding people directly through their email, or by copying a link to the Stack and pasting it where you’d like to share the Stack.

Note: Adding someone to a Stack with their name or email will automatically give that person access to any Dropbox files or folders in the Stack. They’ll also have access to any files and folders added to the Stack after it’s been shared with them. If you share a Stack using a link, the existing Dropbox file and folder permissions will remain the same.

To add people to a Stack on dash.ai:

  1. Log in to dash.ai.
  2. Click  Stacks in the left sidebar.
  3. Select the Stack you’d like to share.
  4. Click  Share.
  5. Click  (search) and enter the person’s name or email address in the search bar.
    • Note: You can copy and paste a list of email addresses into the search bar to share a Stack with multiple people at once.
  6. Add a note, if desired.
  7. Click Share.

You can also click link Copy link before entering a name or email address, to copy and paste a link to the Stack wherever you wish.

To add people to a Stack on the Dash desktop app:

  1. Open the Dash desktop app by pressing control-e (Windows) or command-e (macOS).
  2. Click  Stacks in the left sidebar.
  3. Select the Stack you’d like to share
  4. Click  Share.
  5. Click  (search) and enter the person’s name or email address.
    • Note: You can copy and paste a list of email addresses into the search bar to share a Stack with multiple people at once.
  6. Add a note, if desired.
  7. Click Share.

Notes: 

  • Creating Stacks on dropbox.com is currently in beta testing, and may not be available on your Dropbox account.
  • Currently, you can only share Stacks on dropbox.com with members of your team.

To add people to a Stack on dropbox.com:

 

  1. Log in to dropbox.com.
  2. Click  Stacks in the left sidebar.
  3. Select the Stack you’d like to add people to.
  4. Click Share in the upper-right.
  5. Enter the email addresses of the team members you’d like to share the Stack with.
  6. Click  Share.

You can also click link Copy link before entering a name or email address to copy and paste a link to the Stack wherever you wish.

To share a Stack on an Android device:

 

  1. Open the Dash mobile app.
  2. Tap stack Stacks at the bottom of your screen.
  3. Tap the Stack you’d like to share.
  4. Tap more (more options) in the top right corner of your screen .
  5. Select share arrow Share.

 

From here you can copy a link to the Stack by tapping copy (copy) next to the link, or select the app you’d like to use to share the link directly.

 

To share a Stack on an iOS device:

 

  1. Open the Dash mobile app.
  2. Tap stack Stacks at the bottom of your screen.
  3. Tap the Stack you’d like to share.
  4. Tap share arrow Share below the title of the stack.

 

From here you can select the app you’d like to use to share a link directly, a contact you’d like to send the Stack to, or copy a link to the Stack by tapping Copy.

How to manage Stack permissions

 

Stack permissions allow you to control who can view or edit a stack. As the owner of a Stack, you can change these permissions at any time.

  1. Log in to dash.ai.
    • You can also open the desktop app by pressing control-shift-e (Windows) or command-shift-e (macOS).
  2. Click stack Stacks in the left sidebar.
  3. Select the Stack you’d like to edit.
  4. Click Share.
  5. Click Can view or Can edit next to the person whose permissions you’d like to edit.
  6. Select edit Can edit, Can view, or delete Remove as needed.

How to publish a Stack to your entire team

 

As an admin, you can pin Stacks to your team members’ start pages, allowing you to share resources to your whole team quickly and easily.

 

To do so:

 

  1. Log in to dash.ai with you admin credentials.
    • You can also open the Dash desktop app by pressing control-shift-e (Windows) or command-shift-e (macOS).
  2. Click Account in the left sidebar.
  3. Select Published content.
  4. Enter the name of the Stack you’d like to publish in the search bar.
  5. Click (add) next to the Stack you’d like to publish.
  6. Click Publish.

 

The Stack will be visible to everyone on your team.

You can quickly generate insights, ask questions, and create summaries of the information in your Stacks.

To ask a question about one of your stacks:

 

  1. Log in to dash.ai.
    • You can also open the Dash desktop app by pressing control-shift-e (Windows) or command-shift-e (macOS).
  2. Click stack Stacks in the left sidebar.
  3. Select the Stack you’d like to ask a question about.
  4. Click twinkle Ask Dash in the top right corner.
  5. Enter your question in the text box and click x (send).
    • You can also use this text box to summarize each file in your Stack, including Stacks of more than 20 items.

Once your answer appears, you can ask follow-up questions by entering your query in the text box and clicking arrow-up (send).

Note: This feature uses third-party generative AI to create content. Your data is never used to train their internal models, and is deleted from third-party servers within 30 days. Learn more about Dropbox AI and your privacy.

How to comment on Stacks

 

If you can edit a Stack, you can leave a comment on any item that’s part of that Stack, to add context or direct other team members to specific items.

Notes: 

  • Comments are visible to any logged in user who can view the Stack, even if the viewer doesn’t have access to the item the comment is attached to.
  • Each item in a Stack can only have one comment.
  • Comments on Stacks can be a maximum of 2,000 characters.

How to comment on Stacks

 

If you can edit a Stack, you can leave a comment on any item that’s part of that Stack, to add context or direct other team members to specific items. 

 

To comment on a Stack:

 

  1. Log in to dash.ai.
    • You can also open the Dash desktop app by pressing control-shift-e (Windows) or command-shift-e (macOS).
  2. Click stack Stacks in the left sidebar.
  3. Select the Stack you’d like to add a comment to.
  4. Click comment (comment) next to the name of the item.
  5. Enter your comment, then click Post.

 

You can delete or edit your comments by clicking Delete or Edit below the comment you’d like to change.

Note: Only the author of a comment, or the owner of the Stack, can delete comments.

If you’re not an admin, you can set link restrictions for individual folders that you own.
 

To do this:

  1. Log in to dropbox.com.
  2. Hover over the name of the folder and click Share.
  3. In the popup, click (settings).
  4. Select the Folder settings tab.
  5. Toggle Link restrictions to On.
     

Folders shared with the team

Adding outside folders

Choose if team members can add editable folders from outside of your Dropbox team: 

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Under Products, click the dropdown to the left of Dropbox.
  4. Click Settings.
  5. Under Content, scroll to the Receiving content section.
  6. Toggle Outside folders to On.

How to manage Stack notifications

You’ll be notified by email when:

  • The name of the Stack is changed
  • Items are added or deleted from the Stack
  • The Stack is archived or unarchived
  • A comment is posted on an item that you added to the Stack
  • A response is posted to one of your comments
  • The Stack description is changed

 

To turn notifications for stack activity on or off:

  1. Log in to dash.ai.
  2. Click  Stacks in the left sidebar.
  3. Select the Stack you’d like to toggle notifications for.
  4. Click ☑ (settings) next to the name of the Stack.
  5. Click Turn on notifications or Turn off notifications as required.

If you’ve installed the Dropbox Dash browser extension, you’ll also receive a push notification in your browser whenever someone shares a Stack with you. Clicking this notification will open the Stack that’s been shared in a new tab.

 

To turn this notification on or off:

 

  1. Log in to dash.ai.
  2. Click Account in the left sidebar.
  3. Select Settings from the dropdown.
  4. Scroll to Extension under the General tab.
  5. Click the toggle next to Notify me when someone shares a Stack with me to turn notifications on or off.

Note: The push notifications within your browser will comply with your device’s notification settings and won’t appear if you’ve activated Do Not Disturb mode.
