View Protect and control reports in Dash

 The information in this article applies to admins on Dropbox Dash teams.

Dash team admins with access to Protect and control features can view a summary of their team’s files, folders, and shared drives, filtered by ownership, sharing status, type, and link types in the Reports section of the admin console.

To access the reports:

 

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Under Products, click Dash.
  4. Select Reports from the dropdown.
  5. Select the Overview or Stale access tab.

 

You can filter the report by your connected apps by clicking the App dropdown at the top of your screen and selecting the apps from which you want to see information.

The Overview tab

 

The Overview tab allows you to view a summary of internally owned files, folders, and shared drives. The metrics on these reports include:

 

  • Total items: The number of files, folders, and shared drives owned by or shared with internal accounts.
  • Internally owned: The number of files, folders, and shared drives owned by internal accounts.
  • Personal access: Total number of internally owned documents, shared drives, and folders shared with personal accounts.
  • Outside access: Total number of internally owned documents, shared drives, and folders shared with outside domain accounts.
  • Company-wide access: Total number of internally owned documents, shared drives, and folders with company links that are accessible by anyone in the company.
  • Public links: Total number of internally owned documents, shared drives, and folders with public links accessible by anyone on the internet.
  • Modified 1+ years ago: Total number of internally owned documents, shared drives, and folders that haven't been modified in a year or more.
  • Modified 2+ years ago: Total number of internally owned documents, shared drives, and folders that haven't been modified in two years or more.
  • Modified 3+ years ago: Total number of internally owned documents, shared drives, and folders that haven't been modified in three years or more.

The Stale access tab

 

The Stale access tab allows you to view a summary of internally and externally owned items that haven’t been edited in over one, two, three, or five years.  The metrics on these reports include:

 

  • Total items: The number of internal or external files, folders, and shared drives that haven’t been edited.
  • Personal account access: The number of files, folders, and shared drives that have been shared with personal accounts.
  • Outside account access: The number of files, folders, and shared drives that have been shared with accounts from other domains.
  • Company links: The number of files, folders, and shared drives with company links.
  • Public links: The number of files, folders, and shared drives with public links.

Note: The Owned externally section of the stale access reports currently only supports files from Google Drive and will only appear if you’ve connected Google Drive to your Dash team account.
