Dropbox Sign reports in the admin console

The information in this article applies to admins on Dropbox Sign accounts.

Admins can view recent activity and generate status or compliance reports for all users and documents on their team or account. 

Reports available to admins

User Activity report (available on Standard and Premium)

This report includes the following information by user:

Column Name

Description

Email Address

Email address of the Dropbox Sign user

Last Name

Last name of the Dropbox Sign user

First Name

First name of the Dropbox Sign user

Team Name

Name of the team the Dropbox Sign user is a member of

Templates Owned

Number of signature templates owned by the user

Requests Sent

Number of signature requests sent by the user

Percentage Requests Completed

Percentage of the user’s signature requests that were completed by the signer(s)

Percentage Requests Cancelled

Percentage of signature requests the user cancelled

Percentage Requests Declined

Percentage of signature request declined

Documents Signed

Number of documents that were signed by the account

Document Status report (available on Premium)

This report includes the following information by document:

Column Name

Description

Document Name

Name of the document sent out for signature

Date Sent

Date that the signature request was sent

Date Completed

Date that the signature request was completed

Sent By (email)

Email address of the user who sent the signature request

Sent By (team)

Name of the team the user who sent the signature request belongs to

Sent To (email)

Email address the request was sent to

Signed By (email)

Email address of the signer

Status

Status of signature request (Out for signature, Completed, etc.)

Days Outstanding

Number of days since the signature request was sent

  • Note: If the signature request was completed, this will be 0. If there was an error on the request, this section will be blank.

Compliance report (available on Standard and Premium)

A compliance report consists of three reports that are delivered in separate emails to the admin. The admin can download each one in a separate CSV. The tables below include descriptions of each report with information by user.

Report 1: Account & API Key Details

Column Name

Description

Team Name

Name of the team the Dropbox Sign user is a member of

Email Address

Email address of the Dropbox Sign user

Last Name

Last name of the Dropbox Sign user

First Name

First name of the Dropbox Sign user 

Account Locked

Designates if access to the Dropbox Sign account is locked

Account Last Login Date

Timestamp (UTC) for user’s last log in

API Key Name

Name of the Dropbox Sign account API key

API Key Created

Timestamp (UTC) for when the account’s API key was created

API Key Updated

Timestamp (UTC) for when the account’s API key was updated

API Key Last Used

Timestamp (UTC) for when the account’s API key was last used in an API request

Primary Key

Designates if the account API key is the primary key

Report 2: API Call Activity

Column Name

Description

Email Address

Email address of the Dropbox Sign user

Request ID

Unique identifier for an API request

API call

The API endpoint used (i.e. /v3/signature/send)

Timestamp

The timestamp (UTC) of when the record was added within the Dropbox Sign platform

IP Address

The IP address used to make the API request

User Agent

The user agent used to make the API request

Report 3: Log In Activity

Column Name

Description

Email Address

Email address of the Dropbox Sign user

Log In Date

Timestamp (UTC) of when the user logged in

Log In Type

The method used to log in

Location (IP Address)

The location and IP address used to log in

Browser & Device

The user agent used to log in

How to view recent activity

Admins on Premium can view charts of recent activity, by request status and send activity. 
 
To view recent activity: 

  1. Log in to sign.dropbox.com with your admin credentials.
  2. Hover over your initials in the top-right corner.
  3. Click Admin console.
  4. Click Reporting in the left sidebar. 

The first chart reflects the status of signature requests for the entire account or team for the current month.

How to generate a report

You can generate detailed activity and status reports for a custom date range.

To generate a report: 

  1. Log in to sign.dropbox.com with your admin credentials.
  2. Hover over your initials in the top-right corner.
  3. Click Admin console.
  4. Click Reporting in the left sidebar. 
  5. Scroll to Run a report.
  6. Enter the date range for your report. 
    • Note: The end date can't be more than a year later than the start date.

  1. Check the box next to the correct report.
  2. Click Request Report.

The report will be processed and a link to a CSV file will be sent to your email address.

Limitations

Number of entries per report

Reports can take up to 30 minutes to generate, depending on the timeframe selected and number of results included in the report.
 
Please note that the maximum number of entries per report is approximately 250,000. If a report generates close to the maximum number of entries, you may receive the error, “There was a problem preparing your report.“
 
If this happens, generate the report again with a smaller date range to include fewer entries. If you still can’t download your report, please submit a request to our support team for further investigation.
