How to share files and projects in Dropbox Replay
The information in this article applies to users with Dropbox Replay and the Dropbox Replay Add-On.
Once you add files or create projects in Dropbox Replay, you can share them with collaborators. You can also manage sharing permissions, viewer and comment access, download ability, and password protection. Admins have access to all Replay team files and projects.

Note: Password protection and Add due date are paid features included in the Dropbox Replay Add-On.
How to share files in Dropbox Replay
To share a video, image, audio, or PDF file in Dropbox Replay:
- Log in to replay.dropbox.com.
- Hover over the thumbnail or in the row of the file you’d like to share.
- Click “…” (ellipsis) in the upper right.
- Click Share from the menu that appears.
- Note: You can change all your file permissions from your Links tab if you have the Dropbox Replay Add-On.
- Select recipient access:
- View and comment: Collaborators can view the file and comments, and can add comments of their own.
- View only: Collaborators can view the file, but can’t see or add comments.
- Note: Click Manage settings to require a password, hide past comments, require a Dropbox login, enable downloads, or enable link access.
- Click Send or Copy link.
- Paste the link where you’d like to share it.
Note: Links to files will display the title of the file as well as a thumbnail preview and a short description of Dropbox Replay.
How to share or add people to projects in Dropbox Replay
To share or add people to a project in Dropbox Replay:
- Log in to replay.dropbox.com.
- Hover over the file thumbnail or row of the project you would like to add people to.
- Click “…” (ellipsis) in the upper right.
- Click Add people.
- Enter the emails of the people you’d like to add.
- Notes:
- Adding users to a project gives them control over the whole project and everything in it.
- You can only add a user to your project via email.
- You can enter groups or teams you already made in your Dropbox account. Learn more about managing Dropbox Replay for your team.
- Notes:
- Add a message, if you’d like.
- Choose Can edit or Can comment, depending on the permissions you’d like to grant.
- Click Add.
Note: You can also add people directly from your folder, by clicking Add people in the upper right. Your collaborator will receive an email invitation to open your project. How to enable or disable link access to your shared file
To enable link access to your shared file:
- Log in to replay.dropbox.com.
- Open the file you’d like to enable link access to.
- Click Share in the top-right corner.
- Click Manage settings.
- Check or uncheck the box beside Enable link access.
Note: To turn all your shared links on or off, click the View and comment or View only tabs.
How to hide previous versions of a shared file or project
To only allow people to see the current version:
- Log in to replay.dropbox.com.
- Open the file you’d like to enable link access to.
- Click Share in the top-right corner.
- Click Manage settings.
- Check the box beside Hide past versions.
How to delete a user from your project
To delete a user from your project:
- Log in to replay.dropbox.com.
- Click their avatar (profile picture or initials) at the bottom of the project thumbnail.
- Click the dropdown menu next to their name.
- Click Remove.
Note: To make sure someone can’t access any files in a project, turn off all your shared links under the view and comment or view only tabs. You can also password-protect your files and project to prevent access with the Dropbox Replay Add-On feature.
How to password-protect your shared links
If you have the Replay Add-On, you can password-protect your shared links:
- Log in to replay.dropbox.com.
- Hover over the thumbnail or row of the file or project you’d like to share.
- Click “…” (ellipsis) in the upper right corner.
- Click Share from the menu that appears.
- Click Manage settings.
- Check the box beside Require password.
- Enter the password in the box that appears and click Save.
To edit an existing password, repeat steps 1 to 5 then click Edit password (under Require Password) to update the password.
How to add a watermark to your shared link
If you have the Replay Add-On, you can apply a default or customized watermark to your Dropbox Replay videos.
A default watermark link can be sent to your groups or teams, or you can add email addresses and send a new customized link for each email address. If your Replay file has a default watermark, you’ll see Watermark in the top-right corner of the thumbnail image.
Replay files with customized watermarks have the same setting options as a default watermark, but also include email tracking and record the IP address, date, and time of each view.
To add a watermark:
- Log in to replay.dropbox.com.
- Open the Replay file you’d like to add a watermark to.
- Click Share in the upper right.
- Select the Watermark tab.
- If you haven’t created a watermark yet, click + New Link.
- Under the Customize tab, you can adjust these settings:
- Display text
- Custom text
- Position
- Theme
- Opacity
- Size
- Click the Settings tab and adjust the settings, if needed.
- Click Save.
- Click the Copy link.
You can then paste the link with the watermark into an email, message, or anywhere people can access it.
How to add a due date to your shared link
If you have the Replay Add-On, you can add a due date for collaborators to encourage them to deliver timely feedback on your shared media file. You can only set one due date per file.
To add a due date:
- Log in to replay.dropbox.com.
- Open the file you’d like to add a due date to.
- Click Share in the upper right corner.
- Click Add due date and select a due date and time.
- Click Save.
This due date will be visible to collaborators when they view the file in Replay.
Note: When a due date is set, you'll receive one email reminder 24 hours before the due date.
How to manage your shared links from your Links page
If you have the Replay Add-On, you can manage your shared links for files and projects from your Links page in Dropbox Replay. You can also see file type, the date the file was created, who has access to your link, and the type of access they have.
To manage access to your files and projects:
- Log in to replay.dropbox.com.
- Click Links.
- To change access to a link, toggle Link access on or off.
- To share a specific version of a view only link, hover over the link address, click Copy to Clipboard and select which version you wish to send.
- Click Close.
