How to manage Dropbox Replay for your team
Dropbox Replay is available to all Dropbox users on dropbox.com.
Note: Admins can’t control files that are in a team member’s account. If a team member creates a file inside of your Workspace, an admin can’t take ownership of that file unless it’s added to the team space.
Dropbox Replay settings in the admin console
- Open any file in a shared project created by a Dropbox team member
Note: A team member has to be an authorized user on your Dropbox team account. If you’re working with someone who’s on their own account and isn’t an authorized user on your team, admin controls won’t extend to their files, unless those files are moved into one of your team’s projects.
- Rename projects
- Take ownership of files or projects of team members or former team members
- Permanently delete files
- Change sharing settings from your Links page or the file itself
- Change shared links passwords
- Turn on/off member access to files and projects
How to rename a file or project
To rename a file or project:
- Log in to dropbox.com.
- Click the grid icon in the upper left.
- Click Replay from the menu that appears.
- Note: Dropbox Replay will open in a new tab.
- Hover over the file thumbnail or the row of the project you’d like to rename.
- Click “…” (ellipsis) in the upper right.
- Select Rename from the menu that appears.
- Type in the new project name.
- Click Save.
How to edit access to a Dropbox Replay project
To add or edit access to a project:
- Log in to dropbox.com.
- Click the grid icon in the upper left.
- Click Replay from the menu that appears.
- Note: Dropbox Replay will open in a new tab.
- Hover over the file thumbnail or the row of the project you’d like to add or edit people’s access to.
- Click “…” (ellipsis) in the top-right corner.
- Select Add people from the menu that appears.
- Select Edit people to change permissions to Can edit, Can view, or Remove.
- Enter the emails of the people you’d like to add.
- Add a message, if you’d like.
- Choose Can edit, Can view, or Remove, depending on the permissions you’d like to grant.
- Click Add.
The people you added will receive an email invitation to open your project. If you’d like to collaborate on a project in real time, start a live review session instead.
How to manage ownership of files and projects
Admins can control ownership of a shared file or project to prevent stalled workflow.
Once an admin has taken over or reassigned ownership of a project, they will be able to take all of the actions that an owner can take, including:
- Edit/delete/add password
- Toggle downloads on/off
- Archive files
- Resolve comments
- Pin/label comments
- Set deadlines
How to take ownership of a file or project
To take ownership for yourself:
- Log in to dropbox.com.
- Click the grid icon in the upper left.
- Click Replay from the menu that appears.
- Note: Dropbox Replay will open in a new tab.
- Hover over the file thumbnail or the row of the project you’d like to take ownership of.
- Click “…” (ellipsis) in the upper right.
- Select Edit people.
- Click dropdown next to Owner.
- Click Take ownership.
- Click the Can edit dropdown next to the member you took ownership from.
- Choose Can edit, Can view, or Remove, depending on the permissions you’d like to grant.
How to reassign ownership of a file or project
To reassign ownership:
- Log in to dropbox.com.
- Click the grid icon in the upper left.
- Click Replay from the menu that appears.
- Note: Dropbox Replay will open in a new tab.
- Hover over the file thumbnail or the row of the project you’d like to reassign ownership of.
- Click “…” (ellipsis) in the upper right.
- Select Change ownership.
- Click the dropdown next to the current owner’s name.
- Click the name of the team member you’d like to give ownership to.
- Click Save.

- Click the grid icon in the upper left.

- Hover over the thumbnail or in the row of the project you’d like to take ownership of.
- Click “…” (ellipsis) in the upper right.
- Select Change ownership.
- Click the dropdown with the owner’s name.
- Select the name of the team member you’d like to give ownership to.
- Click Save.
How to view the admin of a file or project
To view who’s the team admin of a file or project:
- Log in to dropbox.com.
- Click the grid icon in the upper left.
- Click Replay from the menu that appears.
- Note: Dropbox Replay will open in a new tab.
- Open the team project.
- Hover over an avatar (profile picture or initials) in the upper right corner. The name of each team member’s will appear and Admin will appear under the names of team admins.
Notes:
- Adding users to a project gives them editing control over the whole project and everything in it.
- You can only add a user to your project via email.
