How to manage files and projects in Dropbox Replay

Dropbox Replay is available to all Dropbox users on dropbox.com. The Dropbox Replay Add-On is a paid feature available to customers on Dropbox Plus, Essentials, Professional, Standard, Business, Advanced, Business Plus, and Enterprise.

You can add files and create projects in Dropbox Replay, including adding updated versions of project files. Once uploaded or created, you can manage viewer access and permissions for your files and projects.

How to add and manage files in Dropbox Replay

To add files to Dropbox Replay:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.
  4. Click Add files in the top right.
  5. Select Dropbox, Local drive, Google Drive, or OneDrive.
  6. Choose the file or files you'd like to add.
    • Note: You can upload multiple files at once from Dropbox or your local drive, but only one file at a time from Google Drive or OneDrive.
  7. Click Add or Open


Once the upload is complete, a thumbnail of your file will appear under Workspace.

Notes:

  • Dropbox Replay files are stored in your Dropbox account. If you have a large file or project you’d like to upload to Replay, make sure you have enough available storage space.
  • To cancel uploads that are in progress, click Cancel next to the file name in the upload drawer at the bottom of the Replay window.
  • Local uploads that are canceled or fail to upload can be retried by clicking Retry next to the file name in the drawer at the bottom of the Replay window. This isn't available for Dropbox, Google Drive, or OneDrive files.
  • If you’ve reached your uploads limit, you’ll see an Out of uploads error message when you try to upload a file.

How to create a new version of a file in Dropbox Replay

To create a new version of a file:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.
  4. Hover over the thumbnail or row of the file you’d like to add a new version to.
  5. Click “” (ellipsis) at the end of the row or in the top right.
  6. Hover over New version.
  7. Select Dropbox, Local drive, Google Drive, or OneDrive.
  8. Choose the file or files you'd like to add.
  9. Click Add or Open.
    • Note: Once the upload is complete, your file will refresh and the number of file versions will appear in the Versions dropdown in the top left (Example: V2).

Note: To view older versions, click the Versions dropdown, then click the version you want to view.

How to delete a file in Dropbox Replay

Note: If you’re the file owner and you delete your Replay file or project from your Replay dashboard, then it can’t be restored. If you have the Replay Add-On, you can archive your Replay files and projects instead of deleting them.

To delete a file:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.
  4. Hover over the thumbnail or row of the file you’d like to delete. 
  5. Click “” (ellipsis) in the top right.
  6. Click Delete from the menu that appears.
  7. Click Permanently delete when prompted to confirm.

Note: This will delete all versions of the file, including the shared links and comments.

How to delete a version of a file in Dropbox Replay

Note: Deleting versions of a file in Dropbox Replay is permanent, and you can’t recover that version or any comments in it. If you have the Replay Add-On, you can archive your Replay files and projects instead of deleting them.

To delete a version of a file:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.
  4. Click the file you'd like to delete a version of.
  5. Click on the V[#] dropdown menu in the top left.
    • Note: This will be marked by the version that’s open (Example: V2).
  6. Click “” (vertical ellipsis) next to the version you’d like to delete.
  7. Click Delete this version.
  8. Click Permanently delete [version name].

Note: You can also Delete all versions from this menu.

How to create and manage projects in Dropbox Replay

To create a project:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.   
  4. Click Create project in the upper right.
  5. Enter a project name in the box and a project description if required.
  6. Click Create.


Your new project will open once you click Create.

How to add files to a project in Dropbox Replay

To add files to a project:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.    
  4. Open the project you want to add files to.
  5. Click Drag your files or click here.
  6. Select Dropbox, Local driveGoogle Drive, or OneDrive
  7. Choose the file or files you’d like to add.
    • You can multi-select files from Dropbox or your local drive, but can only upload one file at a time from Google Drive or OneDrive.
  8. Click Add or Open


Once the upload is complete, a thumbnail of your file will appear in the project folder under Your work.

Notes

  • If you copy an existing Replay file and move it into a new Replay project folder, no comments or notes in the existing file will transfer into the new project.
  • To cancel uploads that are in progress, click Cancel next to the file name in the upload drawer at the bottom of the Replay window.

  4. Hover over the thumbnail or row of the project you’d like to delete and click the “” (ellipsis) in the top right.
  5. Click Delete from the menu that appears.
  6. Click Permanently delete when prompted to confirm.

Note: All editors will lose access and deleting this project will permanently remove all files and related activity, as well as project folders.

How to manage your Replay storage

Note: From May 22, 2024, you can track how much storage space your Replay files are using in the Storage Space breakdown. Only Replay files uploaded on or after that date will use your available storage space.

Your Dropbox storage space quota is the total amount of data you can store in your Dropbox account. Files added to Dropbox use storage space. If you bring these files into Replay, they won’t use any additional storage space as they’ve already been counted.

However, files uploaded directly to Replay from the following sources will:

  • Your desktop
  • Google Drive
  • OneDrive
  • Third-party editing software
  • Any source other than your Dropbox

Note: This affects all Replay users and teams, including those with the Replay Add-On.

How to check how much storage space Replay files are using

To see a breakdown of your total storage space, including your Replay files:

  1. Log in to dropbox.com.
  2. Click the avatar (profile picture or initials) in the top right.
  3. Select Settings.
  4. Click Plan.

In the Storage space breakdown, you can review how much storage space is being used by Replay.

 

How to check the size of a Replay file

To see how much storage space a single file is using:

  1. Log in to dropbox.com.
  2. Click the grid icon in the top right.
  3. Click Replay from the menu that appears.
    • Note: Dropbox Replay will open in a new tab.
  4. Click the file you want to check.
  5. Click the file info icon (the letter “i” in a circle) in the top right.

This brings up more information about the file, including the Size.

 

Team admin controls in Dropbox Replay

When Replay files or folders are added to a team project, everyone added to that project has access to all files in it. Users with Edit permission can view and manage project files and folders and give feedback.


If users have View and comment permission, they can view project files and folders and give feedback. If a team member leaves or is removed from a project, an admin can take ownership of their files in the project and manage them. 


Once an admin has taken ownership of a file or project, they can take all of the actions that an owner can take, including: 

  • Edit, delete, or add password
  • Toggle downloads on or off 
  • Resolve comments 
  • Pin or label comments

How to monitor activity in Replay

Admins can use the admin console to view the following member activity in Replay:

  • Logging in or out of Replay
  • Linking Replay to their accounts
  • Adding or deleting files
  • Creating or modifying shared links
  • Adding or removing people from projects
