How to manage files and projects in Dropbox Replay
The information in this article applies to all Dropbox Replay users.
You can add files and create projects in Dropbox Replay, including adding updated versions of project files. Once uploaded or created, you can manage viewer access and permissions for your files and projects.
How to add files in Dropbox Replay
To add files to Dropbox Replay:
- Log in to replay.dropbox.com.
- Click Add files in the top right.
- Select Dropbox, Local drive, Google Drive, or Microsoft OneDrive.
- Choose the file or files you'd like to add.
- Note: You can upload multiple files at once from Dropbox or your local drive, but only one file at a time from Google Drive or Microsoft OneDrive.
- Click Add or Open.
Once the upload is complete, a thumbnail of your file will appear under Home.
Notes:
- Dropbox Replay files are stored in your Dropbox account. If you have a large file or project you’d like to upload to Replay, make sure you have enough available storage space.
- To cancel uploads that are in progress, click Cancel next to the file name in the upload drawer at the bottom of the Replay window.
- Local uploads that are canceled or fail to upload can be retried by clicking Retry next to the file name in the drawer at the bottom of the Replay window. This isn't available for Dropbox, Google Drive, or Microsoft OneDrive files.
- If you’ve reached your uploads limit, you’ll see an Out of uploads error message when you try to upload a file.
How to rename a file or project
To rename a file or project:
- Log in to replay.dropbox.com.
- Hover over the file thumbnail or the row of the project you’d like to rename.
- Click “…” (ellipsis) in the top right.
- Select Rename from the menu that appears.
- Type in the new project name.
- Click Rename.
How to create a new version of a file in Dropbox Replay
To create a new version of a file:
- Log in to replay.dropbox.com.
- Hover over the thumbnail or row of the file you’d like to add a new version to.
- Click “…” (ellipsis) at the end of the row or in the top right.
- Hover over New version.
- Select Dropbox, Local drive, Google Drive, or Microsoft OneDrive.
- Choose the file you'd like to add.
- Click Add or Open.
Notes:
- Once the upload is complete, the number of file versions will refresh in the thumbnail or row of the file (Example: V2).
- To view previous versions, click on the file, then select a version in the Versions dropdown in the upper left.
After you create a new version, you can still view resolved and unresolved comments on previous versions of the file. This lets you track and review feedback over time.

How to delete a file in Dropbox Replay
Note: If you’re the file owner and you delete your Replay file or project from your Replay dashboard, then it can’t be restored. If you have the Replay Add-On, you can archive your Replay files and projects instead of deleting them.
To delete a file:
- Log in to replay.dropbox.com.
- Hover over the thumbnail or row of the file you’d like to delete.
- Click “…” (ellipsis) in the top right.
- Click Delete from the menu that appears.
- Click Permanently delete when prompted to confirm.
Note: This will delete all versions of the file, including the shared links and comments.
How to delete a version of a file in Dropbox Replay
Note: Deleting versions of a file in Dropbox Replay is permanent, and you can’t recover that version or any comments in it. If you have the Replay Add-On, you can archive your Replay files and projects instead of deleting them.
To delete a version of a file:
- Log in to replay.dropbox.com.
- Click the file you'd like to delete a version of.
- Click the V[#] dropdown menu in the top left.
- Note: This will be marked by the version that’s open (Example: V2).
- Click “⁝” (vertical ellipsis) next to the version you’d like to delete.
- Click Delete this version.
- Click Permanently delete [version name].
Note: You can also Delete all versions from this menu.
How to create projects in Dropbox Replay
To create a project:
- Log in to replay.dropbox.com.
- Click Create project in the upper right.
- Enter a project name in the box and a project description if required.
- Click Create.
Your new project will open once you click Create.
How to add files to a project in Dropbox Replay
To add files to a project:
- Log in to replay.dropbox.com.
- Open the project you want to add files to.
- Click Add files in the upper right.
- Select Dropbox, Local drive, Google Drive, or Microsoft OneDrive.
- Choose the file or files you’d like to add.
- You can multi-select files from Dropbox or your local drive, but can only upload one file at a time from Google Drive or OneDrive.
- Click Add or Open.
Once the upload is complete, a thumbnail of your file will appear in the project folder under Home.
To send a file to Dropbox Replay without adding it to a project:
- Log in to dropbox.com.
- Right click the image, video, or audio file you want to add to Replay.
- Click Send for review.
Once your content is sent to Dropbox Replay, you can move it to any project that you’re working on.
Notes:
- If you copy an existing Replay file and move it into a new Replay project folder, no comments or notes in the existing file will transfer into the new project.
- To cancel uploads that are in progress, click Cancel next to the file name in the upload drawer at the bottom of the Replay window.
- Local uploads that are canceled or fail to upload can be retried by clicking Retry next to the file name in the drawer at the bottom of the Replay window. This isn't available for Dropbox, Google Drive, or Microsoft OneDrive files.

How to delete a project in Dropbox Replay
To delete a project:
- Log in to replay.dropbox.com.
- Hover over the thumbnail or row of the project you’d like to delete and click “…” (ellipsis) in the top right.
- Click Delete from the menu that appears.
- Click Permanently delete when prompted to confirm.
Note: All editors will lose access and deleting this project will permanently remove all files and related activity, as well as project folders.
How to download all files in a Replay project
To download all files in a project:
- Log in to replay.dropbox.com.
- Open the Replay project you want to download.
- Click the download icon (arrow pointing down to a line) at the top, then select one of the following:
- Only the latest version of files
- Only files with “Approved” status
- All files and versions in this project
- Click Download.
- Open the Replay project you want to download.
- Click the download icon (arrow pointing down to a line) in the top right, then select one of the following:
- Only the latest version of files
- Only files with “Approved” status
- Click Download.
Notes:
- The maximum number of files that can be downloaded as a .zip file is 10,000.
- You can’t download all files in a project as a .zip folder if the total size is greater than 250 GB.
How to download files or proxies in Replay
You can download the original file, or download proxies that are lower in size and resolution.
To download the latest version or all versions of a file:
- Log in to replay.dropbox.com.
- Hover over the thumbnail of the file you’d like to download and click “…” (ellipsis) in the top right.
- Click the download icon (arrow pointing down to a line) at the top, then select one of the following:
- Only the latest version
- All files, including all versions
To download a file or files in lower resolutions or sizes:
- Log in to replay.dropbox.com.
- Hover over the thumbnail of the file you’d like to download and click “…” (ellipsis) in the top right.
- Click the download icon (arrow pointing down to a line) at the top, then select one of the following:
- Download original: Download the file in its original size
- Download proxy: Choose a proxy in the resolution you want
- Download all: Download all the available proxies at once in a .zip file
How to manage your Replay storage
Files added to Replay directly from your local drive, Google Drive, Microsoft OneDrive, third-party editing software, or any source other than your Dropbox will count against your Dropbox Replay storage limit and your Dropbox plan storage limit. Files added to Replay from your Dropbox account don't count towards your Dropbox plan storage limit.
How to check the size of a Replay file
To see how much storage space a single file is using:
- Log in to replay.dropbox.com.
- Click the file you want to check.
- Click the file info icon (the letter “i” in a circle) in the top right.
How to archive files in Dropbox Replay
If you have a Replay Add-On, you can archive your Dropbox Replay video, image, audio, and PDF files, including their comments, to your Dropbox account. This allows you to delete archived video files from your Home page in Replay, so you only see active project files.
Notes:
- Only files can be archived. Entire projects can’t be archived.
- Dropbox Replay users who don’t have a Replay Add-On can’t archive files, but they can download files to their local drive.
To archive Dropbox Replay video, image, audio, or PDF files:
- Log in to replay.dropbox.com.
- Hover over the thumbnail of the file(s) you’d like to archive.
- Check the checkbox that appears in the upper left.
- Click Archive to Dropbox at the top of your Home page.
- Select a folder you’d like to archive files to, or click Create folder.
- All folders will show as empty even if they contain files.
- If you don’t choose a folder, your file will be archived to your All files tab in your Dropbox account.
- Check the box next to Only archive the latest version of Replay file, if you’d like.
- If you don’t check the box, all versions and comments will be archived to the folder.
- Click Choose.
Your Replay video, image, audio, or PDF file will appear in the designated folder of your Dropbox account.
How to monitor activity in Replay
Admins can use the admin console to view team activity in Replay.
