Admin console functionality
Admins with the Sign Standard add-on will have access to both the admin console on dropbox.com and the Dropbox Sign admin console.
The Dropbox Sign admin console allows you to edit settings under three different categories: Reporting, Settings, and Security.
Learn more about the Sign admin console.
Admins that don't have the add-on license purchased for themselves won't be able to view signature request activity on sign.dropbox.com and access some of the features available to admins in Sign, such as sending reminders and editing signers for pending signature requests.
However, they’ll be able to see the signature requests and templates created by their team members with the add-on in the signature hub. They will also have access to the Sign admin console to change settings for their team members.
Signatures setting
Toggling the Signatures setting in the Dropbox admin console to “On” or “Off” will only impact signature features within Dropbox. Users with the add-on will still be able to access advanced signature features through sign.dropbox.com.
When this toggle is turned off, admins won’t have access to the signature hub on dropbox.com to view team members’ signature activities. Instead, you can access sign.dropbox.com to manage the team’s signature documents and templates on the Home page.
Activity log
Signature activities performed by members of your team with the add-on through sign.dropbox.com won’t appear in the activity log and external sharing report on the Dropbox admin console. You can access this information through the Reporting section of the Dropbox Sign admin console.
External sharing
To turn off sharing documents outside members of the team, team admins can go to the Sharing section of Settings in the Dropbox admin console and toggle Get documents signed to “Off”. This will prevent external sharing on both Dropbox and Dropbox Sign.
Templates
To turn off team members’ ability to create and edit templates, team admins can go to the Signatures section of Settings in the Dropbox admin console and toggle Creating and editing templates to “Off”. This will prevent template editing and creation on both Dropbox and Dropbox Sign.
Sign Standard add-on FAQs
What happens if I upgrade my plan?
The Sign Standard add-on is only available on Dropbox Business. If you upgrade from Business to Business Plus, your Sign Standard add-on will be removed. Members of your team who had the add-on will lose access to the features provided on sign.dropbox.com.
What happens if I disband or delete my team?
If you disband or delete your Dropbox Business team, all members of the team will lose access to the advanced signature features on sign.dropbox.com. If you’ve chosen to cancel your team subscription before disbanding or deleting, you’ll still be able to use the Sign Standard add-on until the end of your billing period, at which point your team will enter a locked state.
What happens if a team member is removed from the team?
Once a team member with the add-on is removed, the add-on will be canceled at the end of the current billing cycle. As an admin, you can transfer ownership of that user’s files to another member of the team, including their documents and templates created on sign.dropbox.com. You won’t be able to reassign this add-on to another team member.
If a team member is removed from the team and their account is deleted, the removed member’s Dropbox account will be deleted permanently and they won’t retain any access to signature templates or documents on Dropbox or Dropbox Sign.
If a team member is removed from the team and downgraded to a Dropbox Basic account, they’ll still be able to access their signature documents on both Dropbox and Dropbox Sign.
What happens if my team is in a locked state?
If your team goes into locked state, members of the team with the add-on will lose access to features on sign.dropbox.com. If a team member decides to leave while the team is in locked state, and converts their Dropbox account to a Basic account, they will still have access to Dropbox Sign and their templates and signature documents.
What happens if I downgrade my plan?
If you downgrade from Dropbox Business to Advanced, or Standard, you will lose access to the add-on, and a prorated refund will be provided.
I’ve signed a BAA (Business Associate Agreement). Can I still purchase the Sign Standard add-on?
If you’ve signed a BAA, you’ll be able to purchase the Sign Standard add-on. However, the add-on and the eSignature features it provides aren’t HIPAA compliant, and shouldn’t be used to process protected health information (PHI).
