Send for signature with HelloSign

The Dropbox and HelloSign integration lets you send files for eSignature, or eSign files yourself, without leaving Dropbox. The signed files automatically save to your Dropbox account.

Connect Dropbox and HelloSign

When you first send for a signature through Dropbox, you’ll be prompted to connect your Dropbox and HelloSign accounts and accept the terms of service. A free HelloSign account will be created with the email address you use for Dropbox, or if you already have a HelloSign account with the same email address you use for Dropbox, the accounts will be connected. After your accounts are connected, you’ll also be able to sign into hellosign.com by clicking Sign in with Dropbox.

Send for a signature or sign a file

You can send a file in Dropbox for signature or sign a file yourself. To do so:

  1. Sign in to dropbox.com.
  2. Hover over the name of the file and click the check box that appears to the left.
  3. Click the arrow next to Share above the file thumbnail in the right sidebar.
    • If the thumbnail isn’t showing, click the arrow icon in the right sidebar.
  4. Click Send for signature.
  5. Choose who needs to sign:
    • If you’re the only signer, click I’m the only signer.
    • If you’re not the only signer, type their name and email address in the boxes. To add more signers, click Add another signer. To add yourself as a signer, click Add me as a signer. To remove a signer, click the X next to their email address. To reorder the signers, toggle on Set signer order, then drag and drop the signers using the eight dots next to their names.
    • To request an attachment from a signer, click the paperclip icon next to their email address (available on the HelloSign Standard and Premium plans).
  6. Click Next in the top right.
  7. Drag and drop fields onto the document where the signer(s) need to sign, and assign each field to a signer in the right sidebar.
    Note: Each signer must be assigned at least one non-date field before you can continue to the next step.
  8. Click Next in the top right.
  9. Choose a filename and a Dropbox folder location for the signed copy of the file.
    Note: The original file won’t be renamed or moved.
  10. Click Next in the top right.
  11. Confirm your signers and add anyone you’d like to be copied on the request.
  12. Add an email message if you'd like.
  13. Click Send for signature.

Once your signed files are completed, you and all signers will receive email confirmations. Your signed files automatically save to your Dropbox account (in the location you chose) and to your connected HelloSign account. If you delete a signed file from either Dropbox or HelloSign, it will still be saved to the other account.

In your Dropbox account, while a file is waiting to be signed, an in-progress PDF version of the file named “[filename](in-progress).pdf” is saved to the location you chose. Once the file is signed, that file is replaced with a new, signed PDF file named “[filename](signed).pdf”.

Track and manage signature requests

You can track and manage your HelloSign signature requests directly from Dropbox. To get started, sign in to the HelloSign for Dropbox dashboard and:

  • Find the file(s) you need by using the Search bar at the top.
  • Click the Request signature button to request a signature.
  • Click the In Progress tab to track and manage your in-progress requests. You can:
    • View the status, signer, and date of the current status.
    • Click the “” (ellipsis) at the right to take various actions, depending on the status, such as Cancel, Delete, Download, Preview, or Remind.
    • Click to select a file and view its details at the far right.
  • Click the Completed tab to manage your completed requests. You can:
    • Click the “” (ellipsis) at the right to take various actions.
    • Click to select a file and view its details at the far right.

You’ll also get Dropbox and email notifications as your requests progress. Visit the HelloSign help center for help with creating templates, requesting signatures, managing your requests, and more.

Keep in mind the request, size, and storage limits

If the HelloSign account you connected to your Dropbox account is on the limited Free plan (which is the default plan), you can make 3 free signature requests per month. Learn about the limited Free plan and how to upgrade.

Single files uploaded to be signed can’t exceed 40MB or 500 pages. Learn about the supported file types and sizes.

Signed files take up space in your Dropbox account. If you run out of space in your Dropbox account while a file is in progress (waiting to be signed), you’ll see an error message, and the signed version of the file will save only to your HelloSign account and not to your Dropbox account. Admins: Manage the HelloSign integration for your team

Dropbox Business admins can turn on or off the HelloSign integration for their entire Dropbox Business team.

To turn the integration on or off:

  1. Sign in to dropbox.com with your admin credentials. 
  2. Click Admin console on the left.
  3. Click Settings on the left.
  4. Scroll down to Additional settings and click Send for signature.
  5. Toggle to On or Off.
