Manage membership settings
To manage who can send invitations and how people can join your team:
- Log in to dropbox.com with your admin credentials.
- Click Admin console in the left sidebar.
- Click Settings in the left sidebar.
- Under Members, click Membership.
- Under each section, toggle the setting you’d like to change to on or off.
- Click Save.
Different types of accounts have different settings available:
- Member invites: If this setting is on, team members will be allowed to invite people to the team. You can choose whether all members or only approved members can invite people. You can also choose whether those members can invite anyone or only people with email addresses on your organization’s domain. When a member invites someone, you’ll receive an email notification. This setting only affects members and doesn’t affect other admins.
- Coworkers can ask to join your team: If this setting is on, users on your organization’s domain and collaborators outside your team can discover your team and request to join. They can do this from multiple places including dropbox.com/team. Some teams will also see a checkbox below this setting. If this box is checked, users on your organization’s domain can automatically join without your approval.
- Team members can suggest to invite other colleagues: This setting is on by default. You can see a list of invite suggestions in the Pending members page. To get to this page from the Members tab, click Manage next to [x] members are pending. Team members’ suggestions will appear under Invite requests from current members. When an admin approves a suggestion, an invite is sent to the suggested person’s email.
- Admins and members can approve or decline requests to join the team: Admins and designated team members can approve or decline requests to join the team from their Dropbox account on dropbox.com and through the Dropbox mobile app.
- Let me know when invited people join the team: If this setting is on, you’ll receive an email when someone accepts an invitation to join your team. All admins that have permission to invite people to the team will also receive this notification email. If the setting is turned off, no admins of any type will receive an email when someone accepts an invite to join their team.
- Reminders for requests to join the team: If this setting is on, you’ll receive an email reminder for requests to join the team that have been pending for more than two days.
Manage pending invitations
Unaccepted invites to join your Dropbox team account are called pending invites. You’ll receive an email when the member accepts your invitation, but you can add pending members to shared folders and groups even if they haven’t accepted.
You can resend invitations to pending members to remind them to join your team. You can also cancel invitations that haven't been accepted.
To resend an invitation to a pending member:
- Log in to dropbox.com with your admin credentials.
- Click Admin console in the left sidebar.
- Click Members.
- Under Members, click Invited to sort or use the search bar to find the user.
- Click Resend invite for the user you’d like to send a reminder to.
- Click Resend invite to confirm.
Note: If it says Invalid next to a user’s name, it means that their email address may have changed since you sent the invitation. Send the invitation to their new email address instead.
To cancel an invitation:
- Log in to dropbox.com with your admin credentials.
- Click Admin console in the left sidebar.
- Click Members.
- Under Members, click Invited to sort or use the search bar to find the user.
- Click "..." (ellipsis) next to the invite you’d like to cancel.
- Click Cancel invite.
- Click Cancel invite to confirm.
Notes:
- If you added files to a pending member’s account, or added the pending member to shared folders or groups, you can transfer their account to another team member before canceling their invitation.
- If the user already had a Dropbox account, their existing account isn't affected when you cancel their invite.
- You can't suspend or use remote wipe on a pending member’s account.
To add admin permissions to an invitation:
- Log in to dropbox.com with your admin credentials.
- Click Admin console in the left sidebar.
- Click Members.
- Under Members, locate the user or use the search bar to find the user. Then, click "..." (ellipsis) next to the invite you’d like to add admin permissions to.
- Click Add admin permissions.
- Click Add admin permissions again to confirm.
Manage requests to join
Admins and designated team members can approve or decline requests to join a team from their Dropbox account and through the Dropbox mobile app.
To approve or decline requests on dropbox.com:
- Log in to dropbox.com with your admin credentials.
- Click Admin console in the left sidebar.
- Click Members.
- Click Approve or Decline next to the request you’d like to approve or decline.
- If there are more than two requests, click Show all [#] next to Pending requests. Under Requests to join, click Approve or Decline next to the request you’d like to approve.
Notes:
- If you don’t have enough licenses to approve a request, a window will appear asking you to confirm the invite and inform you that you’ll be charged for adding a new license. If you want to continue and be charged, click Invite, but if you don’t, click “X” in the top-right corner of the window.
- This doesn’t apply to teams that pay by manual invoicing. For these teams, the account executive will need to add more licenses if none are remaining.
To approve or decline requests on mobile app:
- Open the Dropbox mobile app.
- Navigate to your account settings and tap (person icon) in the bottom-right.
Note: If you have linked accounts, you must be in the mobile settings of the account you’d like to approve people to join. If not, switch accounts.
- To deny the request, tap “⁝” (vertical ellipsis) and tap Decline.
If there aren’t any licenses available, a window will appear with instructions on how to add more licenses from your computer on dropbox.com.
