Manage invitations for your Dropbox team account

This information in this article applies to certain types of admins on Dropbox Professional, Essentials, Standard, Business, Advanced, Business Plus, and Enterprise.

Certain types of admins can manage invitations and membership settings from the admin console. Learn more about admin permissions.

Manage membership settings

To manage who can send invitations and how people can join your team:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Click Settings.
  4. Under Members, click Membership.
  5. Toggle the setting you’d like to change on or off.

Note: Different types of accounts have different settings available.
 

  • Members can invite people to the team: If this setting is on, team members will be allowed to invite people to the team. You can choose whether all members or only approved members can invite people. You can also choose whether those members can invite anyone or only people with email addresses on your organization’s domain. When a member invites someone, you’ll receive an email notification. This setting only affects members and doesn’t affect other admins.
  • Colleagues can ask to join your team: If this setting is on, users on your organization’s domain and collaborators outside your team can discover your team and request to join. They can do this from multiple places including dropbox.com/team. Some teams will also see a checkbox below this setting. If this box is checked, users on your organization’s domain can automatically join without your approval.
  • Team members can suggest to invite other colleagues: This setting is on by default. You can see a list of invite suggestions in the Pending members page. To get to this page from the Members tab, click Manage next to [x] members are pending. Team members’ suggestions will appear under Invite requests from current members. When an admin approves a suggestion, an invite is sent to the suggested person’s email. 
  • Let me know when invited people join the team: If this setting is on, you’ll receive an email when someone accepts an invitation to join your team. All admins that have permission to invite people to the team will also receive this notification email. If the setting is turned off, no admins of any type will receive an email when someone accepts an invite to join their team.
  • Reminders for requests to join the team: If this setting is on, you’ll receive an email reminder for requests to join the team that have been pending for more than two days.

  1. Click Save.

Manage pending invitations

Unaccepted invites to join your Dropbox team account are called pending invites. You’ll receive an email when the member accepts your invitation, but you can add pending members to shared folders and groups even if they haven’t accepted.

You can resend invitations to pending members to remind them to join your team. You can also cancel invitations that haven't been accepted.
 

To resend an invitation to a pending member:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Click Members.
  4. Under Members, click Invited to sort or use the search bar to find the user. 
  5. Click Resend invite for the user you’d like to send a reminder to. 
  6. Click Resend invite to confirm.

Note: If it says Invalid next to a user’s name, it means that their email address may have changed since you sent the invitation. Send the invitation to their new email address instead.

A new invite will be sent to that person's email address again.

To cancel an invitation:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Click Members.
  4. Under Members, click Invited to sort or use the search bar to find the user. 
  5. Click "..." (ellipsis) next to the invite you’d like to cancel.
  6. Click Cancel invite.
  7. Click Cancel invite to confirm.

Notes: 

  • If you added files to a pending member’s account, or added the pending member to shared folders or groups, you can transfer their account to another team member before canceling their invitation. 
  • If the user already had a Dropbox account, their existing account isn't affected when you cancel their invite. 
  • You can't suspend or use remote wipe on a pending member’s account.

To add admin permissions to an invitation:
  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Click Members.
  4. Under Members, locate the user or use the search bar to find. Then, click "..." (ellipsis) next to the invite you’d like to add admin permissions to.
  5. Click Add admin permissions.
  6. Click again to confirm.

Invite or dismiss requests to join

To manually invite or dismiss requests to join your team:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Click Members.
  4. Under Requests to join, click Approve and invite or Deny next to the request you’d like to approve or deny.
