How to monitor Dropbox team sharing activity

The information in this article applies to certain types of admins on Dropbox Standard, Business, Advanced, Business Plus, and Enterprise.


Certain types of admins can track how certain data is shared inside and outside your organization. This article goes over how to monitor sharing activity in the admin console, generate external sharing reports, and manage externally shared content.

View sharing activity

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click Activity in the left sidebar.

The Activity page shows a summary of the team’s most recent activity. However, it doesn’t show all actions taken by your team. To generate a full activity report from a specific period, click Create report.

Note: An activity report only shows activity from within team folders or the team shared workspace.

To view the recent sharing activity for a specific team member, click Members in the left sidebar, then click the member’s name in the list.

View and manage external sharing

You can view what files, folders, and shared links are shared with people outside your team and see how they were shared. This includes:

  • Items shared: type, size, and path
  • Security: access level and whether they’re protected by password or expiration
  • Sharing: who shared the content, when, and with whom
  • Activity: whether content was viewed or edited

Teams with fewer than 5 million external shares can view these by downloading a report or visiting the external sharing tab in the Security page of the admin console.


You can view these by downloading a report or viewing the external sharing tab in the Security section of the admin console:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click the dropdown beside Dropbox, under Products.
  4. Click Security.

You can also manage access to those files and folders from the External sharing tab.

The report and external sharing tab only include files and folders that were directly shared. For example, if a folder is shared, the folder is included, but its contents aren’t. This includes any files or folders that team members created a shared link for.

Notes:

  • Dropbox is updating its shared link architecture, which will affect how links are created and shared. New links are content-based rather than user-based, and can be identified by the inclusion of an ‘rlkey’ parameter in the URL.
  • If you use a link to share files and folders with an external party, they’ll be able to share the same link with others but won’t be able to create their own link to the content. Each file or folder has one edit and one view-only link.
  • The external sharing report and page excludes Dropbox Paper docs.

How to download an external sharing report

You can create an external sharing report from the External sharing tab on the Security page. The report contains all external sharing data for the team and can’t be filtered.

You have access to a dedicated external sharing page in the admin console where you can view, filter, and manage externally shared files and folders. You can filter using details like file names, file types, shared date, and the person who shared them.

Note: While Dropbox will work to keep this page as updated as possible, the report will include the most up-to-date information.

To create an external sharing report:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click the dropdown beside Dropbox, under Products.
  4. Click Security.
  5. Click the External sharing tab.
  6. Click Create report.
  7. Check the box next to the report types you want to generate:
    • All shared links, and all content shared by email
    • Unique views of links with no expiration, created over 3 months ago
    • Unique views of links with no password
  8. Click Generate.

You’ll receive an email notification once your external sharing report is ready. Your external sharing reports are stored in your Dropbox as CSV files.

Types of data included in an external sharing report

The external sharing report may include the following data:

  • Item type: The type of content shared.
  • Name: The name of the shared content.
  • Shared by: The name of the user who shared the content.
  • Last shared on: The original date that the content was shared. Additional shares at a later date won’t change this field if the link remains external and unchanged for link sharing, or if the recipient still has access permissions for direct sharing.
    • Create date is used for links instead of Last shared on.
    • Time of share is used for direct shares instead of Last shared on.
  • Shared with: The name of the user who received the content.
  • Access: The level of access granted (for example, “edit” or “view-only”).
  • Recipient’s domain: The email domain of the recipient.
  • Last activity: The most recent activity related to the shared content. An activity is registered as a change to the content itself, and is not based on link activity.
    • Note: Only displays the most recent activity for files. 
  • Date of activity: The most recent date of the activity referenced in Last activity.
  • Path: The location of the item within the shared drive or system.
  • Folder type: Type of folder, if applicable (like the Member folder).
  • Number of items: The count of items within the shared folder or file.
  • Extension: The file extension (e.g., .doc, .paper, .pdf) of the shared item.
  • Size: The data size of the shared item.
  • Sharing method: How the item was shared (e.g., link or direct share). 
  • Who accessed: Email addresses of the people who accessed the shared item. Only applies to files shared directly or using a link.
  • Expiration: The expiration date of the shared link or access permissions. Only applies to links.
  • Password: Indicates if a password was required to access the shared item. 
  • Download setting: Specifies whether downloading is allowed for the shared item. Only applies to links.

How to manage externally shared content

To manage an externally shared file or folder from the External sharing page:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click the dropdown beside Dropbox, under Products.
  4. Click Security.
  5. Click the External sharing tab.
  6. Hover over the file or folder you’d like to manage.
  7. Click (more options).
  8. Click Manage access.

If the file or folder is in a team folder, you’ll see the sharing window. If the file or folder isn’t in a team folder, you’ll see the option to sign in as a team member. Once you open the sharing window for the file or folder, you can manage access to it in the same way as any shared file or folder

FAQs about sharing activity

What if an unknown person joins a shared folder?

If an unknown person joins a shared folder, admins will be able to see this and identify who sent the invite from the Activity section of the admin console.

What types of events are recorded?

Shared folder events are recorded when someone:

  • Creates a shared folder
  • Invites a person to a folder
  • Joins a folder
  • Removes a person from a folder
  • Changes the role of another person in a folder
  • Transfers ownership of a folder to another person
  • Unshares a folder
  • Changes the sharing permissions on a folder
  • Changes the general sharing permissions for shared folders in the admin console
  • Moves a shared folder from a work Dropbox to a personal Dropbox (or vice versa), specifically when both folder-level settings and team-level settings permit sharing outside the team
     

Shared file events are recorded when files are:

  • Added
  • Downloaded
  • Edited
  • Previewed
  • Deleted
  • Permanently deleted
  • Restored (when a file deletion is undone, or moved back to its original location)
  • Reverted (when a file is reverted to a previous version, before a set of edits was made)
  • Renamed
  • Moved (when a file is moved from one folder to another)
  • Copied
  • Rollbacked (when someone's account is rolled back to a previous point in time, and the files that this rollback affects)
     

Shared link events are recorded when:

  • A team member creates or shares a link
  • A non-team member creates or shares a link from a shared folder that is owned by a team member
  • A link is shared or created through a third-party app
  • A team member removes a link
  • A team member changes the visibility of a link
  • A team member sets a password or expiration for a link
  • An admin changes the general sharing permissions for shared links in the admin console
  • Someone opens or saves files from a link to team-owned content
     

File requests events are recorded when:

  • A team member creates a file request
  • A team member receives an uploaded file to a file request
     

Paper sharing events are recorded when:

  • A Paper doc or folder is shared or unshared with a team member
  • A team-owned Paper doc or folder is shared or unshared with a person not on the team
  • A team member views a Paper doc
  • A person not on the team views a Paper doc
  • A team member is mentioned in a Paper doc
  • A person not on the team is mentioned in a team-owned Paper doc
  • The Paper doc default sharing setting changes
  • Permissions are changed for a member of a Paper doc
  • Paper doc access is requested by a team member or a person not on the team
     

Send and track activity* is recorded when:

  • A file is added to Send and track
  • A link is created in Send and track
  • A link is deleted in Send and track
  • A link is renamed in Send and track
  • A shared link is opened in Send and track
  • A link is edited in Send and track
  • Files and links are removed from Send and track
  • Files and links are renamed from Send and track

*These events are only available to customers on Dropbox Business or Dropbox Business Plus.
 

Signatures page activity† is recorded when:

  • A signature request is sent 
  • A signature request is opened 
  • A signature request is completed 
  • A signature request reminder is sent 
  • A signature request is canceled 
  • A signature request is declined

†These events are only available to customers on a paid Dropbox Sign plan, or Dropbox Standard, Advanced, Business, or Business Plus. 
 

Opening a link or adding files to a Dropbox account are only reported in the full activity report
 

An event will be recorded whether a team member or non-team member opens or adds the link to their Dropbox.


The sharing audit log does not track when a member leaves or adds a shared folder, because that member still has access to the folder and can add it at any time.

How do I view sharing activity in the insights dashboard?

If you'd like to get a high-level picture of your team's sharing activity over time, check out the insights dashboard. It provides overall usage stats, such as the number of shared links created and the number of active shared folders.

Why are some fields in the external sharing report blank?

Blank Shared by field
These fields can be blank in the following scenarios:

  • The associated Dropbox account is disabled.
  • The file being shared is a Dropbox Paper, Google Doc, or Microsoft 365 file.
     

Blank Shared with field
This field can be blank when a shared link was created but not shared with a specific email.


Note: When files are shared by a shared link, this field will be blank.


Blank Who accessed field
This field remains blank if the file hasn't been accessed using a direct email-shared link.

 

Blank Date of activity field
If the field Who Accessed is blank, the field Date of Activity will also remain blank, as there is no recorded access activity.

 

Blank Path field
If the path field is blank, it means the data is stored in the root folder without a subfolder path.
