How to create a team storage report

The information in this article applies to certain types of admins on Dropbox Standard, Business, Advanced, Business Plus, and Enterprise plans.


Team storage reports show what content is taking up your team’s storage quota. The report shows how much information is kept in:

  • Team folders
  • Shared folders (internal or external)
  • Private folders

Note: Externally-owned content counts toward your team’s storage usage if it’s been added to your team’s Dropbox account.

Who can create a team storage report?

The following admins can generate this type of report:

  • Team admins
  • User management admins
  • Reporting admins
  • Security admins
  • Support admins
  • Compliance admins

What’s included in a team storage report?

The team storage report includes a single row for each folder. It shows:

  • Path: The folder’s location. The level of detail you’ll see will vary by folder type.
  • Folder type: Describes the different types of folders. Examples include:
    • Team folders: Root folders in your team space.
    • Team subfolders: Subfolders within a team folder, shared with a different group.
    • Restricted folders: Folders limited to specific people.
    • Shared folders: Internal or external shared folders
      • Externally owned shared folders appear only if they’re added to your team’s Dropbox account. If an externally-owned folder wasn’t added to your team’s Dropbox account, it doesn’t count against your storage and isn’t included. You’ll see the top-level root of the folder that was shared.
      • Folders are listed as rows in the Storage Report if they have unique sharing permissions. If a subfolder's access list has changed from its parent folder, that subfolder will appear as its own line in the report, and the parent folder’s numbers won’t include it.
    • Private content: A team member’s personal space, including Dropbox Backup if enabled.
    • Suspended private content: Private spaces belonging to suspended team members.
    • App sandbox folders: Created by third-party integrations or the Dropbox API.
    • Archived team folders: Archived but still count toward storage. 
    • Removed private content: From deleted members whose storage has yet to be transferred to another team member. This content still counts against your team’s storage.
  • Size (in MB): The data stored within this path.  
    • Note: If a subfolder's access list has changed from its parent folder, that subfolder will appear as its own line in the report, and the parent folder’s numbers won’t include it.
  • Folder owner: Who owns the folder. 
    • Private folders show the member’s email address.
    • Team folders, show Owned by the team.
    • Shared folders that are inside team folders, it also shows “Owned by the team”. 
    • Shared folders that are external to the team, it shows the sharer’s email address.
  • Number of files: The number of files that are stored in this path. 

How to create a team storage report

To export team storage data as a .csv file directly from the admin console:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Under Storage, click Export storage report.
  4. Click Start export.

The report will appear in your Dropbox folder titled Dropbox Business reports. It’ll be named "YYYY-MM-DD/Team Name/Team Storage Report". No one else will be able to access it, unless you share it with them. You’ll also receive an email once the report is ready.
 

Why storage numbers might differ

Storage metrics can vary across different sections of the admin console due to synchronization intervals and data processing times. For example, reports generated in the admin console may not reflect real-time data, leading to temporary discrepancies.

Note: For large teams, it may take some time to generate the report. If you don’t receive a report after an hour, try again.
