How to invite someone to your Dropbox team account

The information in this article applies to customers on Dropbox Standard, Business, Advanced, Business Plus, and Enterprise.


Adding someone to your Dropbox team account helps streamline collaboration and keep your organization’s content in one place. Certain types of admins can invite people to join the team. Team members can also send invites if an admin has enabled that option.

What do I keep?

  • All private files or folders.
  • Shared folders you own.
  • Shared folders owned by people not on the team.
  • Shared folders owned by the team that you were invited to before joining the team.
  • Paper docs.
  • Access to files in shared folders owned by team members you were invited to before joining the team or that don’t have team-only permissions.

What do I lose access to?

  • Team folders.
  • Files in shared folders owned by other team members you were invited to after joining the team or that have team-only permissions.
  • The team’s shared space quota.
  • Dropbox team-only features.

Notes:

  • Each person added to your team takes up one of your team's licenses. This includes pending invites and suspended members.
  • If you don’t have a spare license when you invite someone to your team, you’ll be charged for one. 
    • This doesn’t apply to teams that pay by manual invoicing. For these teams, the account executive will need to add more licenses if none are remaining.
  • Inactive licenses aren’t automatically removed. Certain types of admins can add or remove licenses in the admin console. Learn how to add or remove licenses.
  • You can't invite a member to your team who's already on another Dropbox team account. They can either join your team using a different email address or leave their current team.
    • If an admin tries to add a team member who's already on a Dropbox team, they'll receive an error message that says "1 email was already invited by another team".
  • Team invite links can be shared with anyone, but joining depends on the recipient’s status and your team’s settings.
    • Invited people can join through the link after they log in.
    • Other people may be able to request access.
    • People with the same verified email domain may be able to join automatically if automatic approval is turned on.
  • If the member you’d like to invite used Sign in with Apple and hid their email, they'll need to update their email address before they can be added to your Dropbox team account. You can’t add someone with a @privaterelay.appleid.com email address to a Dropbox team account.
  • All team admins will have access to the Dropbox Sign admin console for team members with a Dropbox Sign add-on.

Admins: Invite people to join your Dropbox team account

Admins can invite people individually with an email or in bulk with a CSV file, from Dropbox mobile app, or by using a team invite link.

To invite a person individually on dropbox.com:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click Members.
  4. Click Invite members.
  5. Enter the person’s email address you’d like to invite and click Next.
  6. Under Team folders, select the folders they should have access to.
    • Under Permissions, choose Can edit or Can view.
  7. Click Next.
  8. Review the billing information and click Invite.
  9. Click Done.
    • To change an invitee’s access, click Manage invites.

 

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click Members.
  4. Click More options.
  5. Select Import CSV file from the list.
  6. Click Download template to fill out the CSV file.
  7. Upload the completed CSV file.
  8. Click Continue.
    • You’ll see a window showing you how many invites you’re sending and how many licenses are available.
  9. Click Invite.

Note: Invitations that haven’t been accepted yet appear in the pending members list.

 

  1. Open the Dropbox mobile app.
  2. Go to your account settings:
    • On Android, tap Account in the lower-right.
    • On iOS, tap person icon (account) in the lower-right. The label here might vary depending on your account.

Note: If you have linked accounts, you must be in the mobile settings of the account you’d like to invite people to join. If not, switch accounts.

  1. Tap Invite next to Invite people to your team.
    • Note: If you don’t see this option, your admin may have turned off this feature for you. 
  2. Tap Add name or email, then type the name or email of the person (or people) you’d like to invite. You can also tap the name of the person in the Suggested list.
    • To remove a person from the invitee list, tap “X” next to their name.
  3. Tap Invite

You’ll see an Invites sent message appear when the invitations are sent.

Let people with the same email domain to join your team

Admins can let people with the same verified email domain join the team automatically by using a team invite link. 

For example, if your organization’s verified domain is example.com, people with an @example.com address can join through the invite link without receiving an individual invitation.

To manage this setting:

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  3. Click Settings.
  4. Click Members.
  5. Turn Requests to join the team on.
  6. Turn Automatic approval for team join requests from@[Domain] on.

Note: People who join automatically still use an available license. If no licenses are available, they will need to submit a request to join.

What happens when someone joins automatically?

If automatic approval is turned on and an eligible person joins through a team invite link:

  • They’re added to your Dropbox team automatically.
  • They don’t need an individual invitation.
  • They don’t need admin approval.
  • They use one available license.
  • Additional license charges may apply if no licenses are available.
  • Admins can manage or remove members at any time from the admin console.

How to invite people to your Dropbox team if you're a team member

Note: If your team lets members send invitations, you may also be able to share a team invite link, depending on your permissions and team settings.

Team members can invite people individually with their email if their admin lets them.
  1. Log in to dropbox.com.
  2. Click your avatar (profile picture or initials) in the upper-right corner.
  3. Click View team and groups.
  4. Click Invite members.
    • If you don’t see Invite members, your admin may have turned off this feature for your team. Click Suggest members instead to send a suggestion to your team’s admin.
  5. Enter the email of the person (or people) you’d like to invite.
  6. Click Invite to join.

  1. Open the Dropbox mobile app.
  2. Go to your account settings:
    • On Android, tap Account in the lower-right.
    • On iOS, tap person icon (account) in the lower-right. The label here might vary depending on your account.

You’ll see an Invites sent message appear after the invitations are sent.

Tip: If you’re on a Dropbox Basic account and want more storage space, you can earn additional space by referring friends.
